1. Who we are

KnowMePlanet is operated by VANDERBIS LTD (“KnowMePlanet”, “we”, “us”, or “our”), of Office Van 52a, 5 Brayford Square, London, E1 0SG, United Kingdom.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, book or receive coaching services, contact us, or otherwise interact with KnowMePlanet.

For the purposes of UK data protection law, VANDERBIS LTD is normally the controller of the personal information described in this Policy. A coach may separately be responsible for information that the coach collects directly outside the platform and must provide any notice required by applicable law.

2. Information we collect

Depending on how you use KnowMePlanet, we may collect:

  • Identity and contact information, such as your name, email address, telephone number, billing address, and country or region.
  • Booking and service information, such as the coach selected, appointment time, time zone, service purchased, preferences, and information you choose to provide before or after a session.
  • Order and payment information, such as order number, amount, currency, payment status, refunds, and limited payment details supplied by our payment processors. We do not receive or store your complete card number.
  • Communications, such as customer support messages, complaints, reviews, survey responses, and other correspondence.
  • Technical and usage information, such as IP address, browser and device information, cookie identifiers, referring pages, pages viewed, and security or fraud signals.
  • Marketing preferences, including whether you agreed to receive promotional communications.
  • Information supplied by coaches where necessary to administer a booking, resolve a complaint, protect safety, or comply with law.

Coaching conversations may involve sensitive personal matters. Please share only what is reasonably necessary. Do not send medical records, government identification documents, financial passwords, or other unnecessary sensitive information. Where applicable law requires consent to process sensitive information, we will rely on your explicit consent or another lawful basis.

3. How and why we use information

We use personal information to:

  • provide the website, create and manage bookings, process payments and refunds, and deliver customer support;
  • match you with, and share necessary booking information with, the coach you select;
  • send confirmations, reminders, service messages, and important policy or account notices;
  • prevent fraud, abuse, security incidents, and violations of our Terms;
  • improve our services, website, communications, and customer experience;
  • maintain business, accounting, tax, and legal records;
  • comply with legal obligations, respond to lawful requests, and establish, exercise, or defend legal claims; and
  • send marketing where you have consented, or where otherwise permitted by law.

Our lawful bases may include performance of a contract, compliance with legal obligations, our legitimate interests in operating and protecting the platform, and consent where required. You may withdraw consent at any time, but withdrawal does not affect processing already carried out lawfully.

4. Coaches and service providers

Coaches available through KnowMePlanet are generally independent service providers. We share with the selected coach only the information reasonably needed to arrange and deliver the booked service, respond to an issue, or protect the parties involved.

We may also share information with service providers that support our operations, including Shopify, payment processors such as Shopify Payments and PayPal, booking and video-conferencing providers, email and communications providers, cloud hosting, analytics, fraud prevention, professional advisers, and customer support tools.

These parties may process information under their own privacy notices or under contracts requiring them to process information on our instructions. We may also disclose information to regulators, courts, law enforcement, or other parties when required by law or reasonably necessary to protect legal rights and safety.

We do not sell your personal information for money.

5. Payments

Payments are processed by third-party payment providers. They collect and process payment credentials under their own privacy and security terms. KnowMePlanet normally receives transaction references, payment status, card brand, limited card details such as the last four digits, and fraud or verification results, but not your complete card number or security code.

6. International transfers

VANDERBIS LTD is based in the United Kingdom, while customers, coaches, and service providers may be located in Taiwan and other countries. Your information may therefore be processed outside your country or region. Where required, we use recognised safeguards for international transfers, such as adequacy arrangements, approved contractual protections, or another lawful transfer mechanism.

7. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy. Retention periods depend on the nature of the information, our contractual and legal obligations, the possibility of a dispute, and security needs.

Order, payment, tax, and contract records may generally be retained for up to six years, or longer where required by law or an active dispute. Routine enquiries and technical records may be retained for shorter periods. When information is no longer needed, we delete it, anonymise it, or securely restrict access.

8. Cookies and similar technologies

Our website and Shopify may use essential cookies for checkout, security, language, currency, and session functions. With consent where required, we may also use analytics or marketing cookies. You can manage available choices through the cookie banner or your browser settings. Blocking essential cookies may prevent parts of the website or checkout from working.

9. Security

We use reasonable administrative, technical, and organisational measures designed to protect personal information. No online service or transmission method is completely secure, so we cannot guarantee absolute security. If you believe your information or account has been compromised, contact us promptly.

10. Your rights

Depending on your location and applicable law, you may have rights to:

  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion or restriction of certain processing;
  • object to certain processing, including direct marketing;
  • receive certain information in a portable format;
  • withdraw consent; and
  • complain to a competent data protection or consumer authority.

To exercise a right, email xs@topnewclub.cn. We may need to verify your identity. We will respond within the period required by applicable law. UK residents may also complain to the UK Information Commissioner’s Office. Taiwan residents may exercise rights available under Taiwan’s Personal Data Protection Act and contact the competent Taiwanese authority.

11. Children

KnowMePlanet is intended for adults aged 18 or over. We do not knowingly offer services directly to children or knowingly collect their personal information. If you believe a child has provided information to us, contact us so that we can review and, where appropriate, delete it.

12. Coaching privacy

KnowMePlanet is not a medical or psychotherapy provider, and platform communications are not protected by medical, psychotherapist-patient, or legal professional privilege. Coaches should keep session information confidential subject to their agreement with us and applicable law, but disclosure may be necessary where required by law, to address a serious safety concern, or to investigate misconduct.

Do not record a session unless every participant has given prior express consent.

13. Changes to this Policy

We may update this Policy to reflect changes in our services, providers, or legal requirements. We will post the revised version with a new “Last updated” date and provide additional notice where required.
